Tender

Final outcome:   A state of the art new Shared Services Centre site is selected following a strict tender process.

 

Stakeholder group profile:  The Organisation Executive team including most C-levels executives, the newly appointed shared service centre manager. Also subject matter experts such as IT specialists.  

 

Overview:  The Organisation Executive Sponsor engages a senior BSB consultant to design and lead the selection process.

 

The first stage of the tender process involves the articulation of the organisation requirements that are scoped and refined through a series of workshops. The tender document is then written and signed off.

 

The long-listed vendors each receive a pre-engagement letter and a Non-Disclosure agreement to sign as commitment to participate.

 

During the tender writing, a strict process of Q&A is put in place that ensures that there is no bias in tenderer access to the client information.

 

After the evaluation model and its weightings has been finalised and signed off, the selection team visit each site and evaluates the responses.

 

The recommended option is then articulated, based on a summary dashboard including key indicators such as capability, commercials, costs, etc.

 

The recommended vendor is endorsed by the executives and Board and the final contract signed.
